Dynamic and Automated Room Assignments

 

General

Inventi Flow is GauVendi's latest product solution that does not only automate room assignments, but thanks to dynamic functionality, constantly reoptimizes them for maximum occupancy or revenue!  The solution is available to any hotel using apaleo, Mews or OHIP (in integration) PMS. Inventi Flow can be used as a stand-alone solution without using the full suite of GauVendi’s products.

Free Version

  • Inventory can be used to optimize the period of the next 2 weeks. All unassigned reservation within this time period will be automatically assigned in the most optimal way.
  • All reservations can be locked by the user to prevent from being moved.

Premium Version

  • The optimization period can be chosen arbitrarily and a time interval between 2 to 4 weeks can be optimized. Unassigned reservations will be automatically assigned in the most optimal way.
  • All reservations can be locked by the user to prevent from being moved.

Note: Mews PMS Hotels cannot currently implement the optimization suggestions automatically (the extension of the API interface required for this has already been requested with Mews). However, the recommendations can be entered manually directly in Mews. Thanks to the clear recommendation instruction, this minimizes a significant time despite manual adjustment.

Settings

Optimizations can be optimized either by occupancy (Occupancy) or by revenue (Revenue).

For the appropriate selection - including automatic room assignment of unassigned reservations, select the appropriate selection under Optimization Settings.

Recommendation

Since Inventi Flow accesses and optimizes the real reservation status, it makes sense to implement changes at a time when when you do not expect a lot of new reservations to be generated for the time frame you like to optimize


Step by step

  • In the next step, select the time period (2 or 4 weeks) and the time frame to be optimized using the slider.
  • For the selected period, the total number of reservations, assigned & non assigned reservations as well as locked reservations (i.e. reservations that can no longer be moved) are automatically displayed.


Further down on the screen you will find the calendar with the room numbers and reservation assignments. By clicking on "Reservation List" all reservations for the period can be viewed, as well as the status, whether they are permanently assigned or "movable". The status is indicated by the lock icon.

-     By simply clicking on the lock, the reservation can be locked or unlocked and is thus either considered for optimization or not.


After checking the reservations that should be excluded from the optimization, click on "Run optimization" function.


Depending on the optimization period and the number of reservations to be optimized, this process may take several minutes.

 

 

Based on the optimization selected (occupancy or on revenue) the process takes place and displays the result in the next step.

The focus in terms of occupancy or revenue has different approaches.

  1. Focus on optimization of capacity should be chosen especially if the hotel is already running on high occupancy, as the possibilities for maximizing sales are rather small at that stage.
  2. However, as long as the property is at a relatively low occupancy, optimizing for revenue may be the better option to still sell higher value rooms.

The proposed optimization can - before being accepted - be viewed in detail per reservation (marked in green). You can also view the status of your original assignment by selecting “view original"

The reservations that should be assigned to another room are displayed in green. By using the "mouse over" function you can see the details on the suggested new room assignment.  

 

If the suggested changes are accepted, the system confirms the successful conversion. The reservations have now been reassigned.


The optimization can be repeated for the same period - whenever new reservations are added.

Recommendation

In general, we recommend optimizing periods in which high utilization is expected at an early stage. 

In the first step focused on revenue and in the later period focused on occupancy. This way, the maximum advantage of automated and dynamic room allocation can be used.
